Organized is a system,
not a personality trait.

I'm Jennifer Ashford. I build the systems that keep busy professionals and youth sports clubs running — then I help run them with you, so the details stop falling through the cracks.

Who I work with

Two kinds of people call me.

Business professionals & small teams

Your calendar owns you. Your inbox has become a to-do list you didn't write. The work that actually grows the business keeps getting pushed to "later."

What changes: a real system for your inbox, calendar, files and follow-ups — and a second set of hands keeping it running week after week.

Consulting & assistance

Youth sports clubs

You're a volunteer board doing twenty hours a week of registrations, chasing birth certificates, reconciling Venmo, and translating every announcement twice.

What changes: one bilingual platform for registration, payments, documents and messaging — set up and operated by someone who runs a club too.

Club operations & Cancha

Services

Three ways to work together.

Start with whichever hurts most. Most clients begin with a single project and keep me on retainer once the system is in place.

01

Virtual Executive Assistance

Ongoing, behind-the-scenes support for people whose time is worth more than their admin.

  • Inbox triage and calendar management
  • Scheduling, travel and meeting prep
  • Follow-up and deadline tracking
  • Document and file organization
  • Client, vendor and team communication
  • Expense, invoice and receipt wrangling

Best for: solo professionals, consultants and small business owners.

02

Business Consulting

MBA-backed help designing how the work actually gets done — so it doesn't live in one person's head.

  • Operations audit and bottleneck mapping
  • Process documentation and SOPs
  • Software selection, setup and migration
  • Client onboarding and offboarding systems
  • Workflow and hand-off design
  • Training so the system outlives me

Best for: teams that have outgrown sticky notes and group texts.

03

Club Operations & Cancha

Full setup and ongoing management of your club on Cancha — the bilingual club management platform.

  • Registration, rosters and waitlists
  • Monthly billing and payment migration
  • Document compliance and reminders
  • Bilingual family communication
  • Schedules, cancellations and notifications
  • Coach payroll tied to real attendance

Best for: youth clubs of roughly 40–300 players.

For youth sports clubs

I don't just sell you the platform.
I run a club on it.

I'm the Director of Oklahoma Phoenix FC in south Oklahoma City — a bilingual youth club that runs on Cancha. I know exactly which Sunday afternoons this gives back, because I got mine back first.

What Cancha handles

  • Write once, everyone reads it in their language. Announcements, messages and reminders translate automatically between English and Spanish — with the original preserved.
  • Registration and waitlists that manage themselves. Real-time capacity, automatic position updates, no spreadsheet.
  • Payments without the shoebox. Monthly billing by card, bank transfer, cash or Venmo — all tracked in one place.
  • Documents that chase themselves. Missing birth certificates and waivers trigger automatic family reminders.
  • Coach payroll tied to attendance. Tracked per session and exported, not reconstructed from memory.

How it works

No long onboarding. No twelve-month contract.

  1. 01

    A 20-minute call

You tell me what's slipping. I ask a lot of questions and tell you honestly whether I'm the right fit — or point you somewhere better.

  2. 02

    A written plan

Within a week you get a short, plain-English map of what's broken, what to fix first, and what it costs. No jargon, no retainer required to see it.

  3. 03

We build it — then I run it

I set the system up and either hand it over with training, or stay on weekly as the person who keeps it running. Your call, changeable any month.

About

Hi, I'm Jennifer.

I have an MBA and more than twelve years of building and running small businesses — which mostly taught me that good businesses don't fail because of bad ideas. They stall because nobody has time to build the boring machinery underneath.

That machinery is my favorite part. Give me an overflowing inbox, a season's worth of registrations in six spreadsheets, or a process that only works when one specific person is awake, and I will turn it into something calm and repeatable.

Outside of client work I'm the Director of Oklahoma Phoenix FC, a bilingual youth soccer club in south OKC. Soccer is the passion; running the club is where I learned how much of a volunteer's life gets eaten by admin — and how much of it a good system gives back.

I work with clients across the country from Oklahoma City, and I'm as comfortable on a video call as I am on a sideline.
